Tableau vs Power BI pricing looks like a factor of two on the surface and a factor of five once you read the fine print, because the two vendors sell fundamentally different units. Tableau sells graded human seats. Microsoft sells cheap seats plus optional compute capacity. Compare the headline numbers and you will pick wrong.

This article builds the comparison properly, using only prices the vendors publish. Every figure below is a US dollar list price from Tableau's and Microsoft's public pricing pages at the time of writing, before any negotiated discount. No benchmarks, no invented averages, no "typical customer saves" claims. We will build a role mix, apply it at 10, 50 and 200 users, and show exactly where the sticker price stops telling the truth. What Tableau vs Power BI pricing looks like on the published list pages

Tableau, now sold under Salesforce, prices by role. There are three of them, and every deployment needs at least one of the top tier.

All Tableau seats are billed annually. There is no month to month option at list price, so a 50 seat purchase is a 50 seat commitment for a year. Tableau Enterprise adds governance and management features (advanced administration, data management, deployment controls) at the higher per seat rate shown above. Above Enterprise sits Tableau+, which is quoted per deployment and includes the Einstein and Tableau AI features. If a vendor tells you a number for Tableau+, get it in writing, because there is no public list price for it.

Microsoft prices by user too, but the seats are far cheaper and the graded structure sits elsewhere.

The single most consequential fact in Power BI vs Tableau pricing is this: to share a report with a colleague in the Power BI service, both of you need a paid license, unless the workspace sits on an F64 or larger capacity. Power BI Desktop is genuinely free and genuinely complete for authoring. Distribution is what Microsoft charges for.

The role split is where Tableau vs Power BI pricing really diverges

Tableau's model assumes most of your organisation is passive. Viewers cost $15 (or $35 on Enterprise), which is designed for the case where a hundred people open a dashboard once a week and two analysts build everything. That structure is coherent, and it prices consumption honestly rather than pretending it is free.

Microsoft's model assumes almost everyone is a potential author. A Power BI Pro seat at $14 does everything: build, publish, share, subscribe. There is no cheaper consumption tier at all. If you want a viewer who costs less than $14, your only route is buying capacity, and capacity does not start being useful for that purpose until F64.

Two immediate consequences follow, and they explain most of the confusion in tableau pricing vs power bi comparisons:

At small headcounts, Power BI is cheaper by a wide margin. Everyone on Pro at $14 beats a Tableau mix that includes even one Creator at $75, unless nearly your whole team is on Viewer seats.

At large headcounts with a big passive audience, the gap narrows. Tableau Viewer at $15 is roughly the price of a Power BI Pro seat at $14, so a 200 person read only audience costs about the same on either platform. The difference then comes down to the authors, where Tableau Creator at $75 is more than five times a Pro seat.

The second point is the one that surprises people. Tableau is not expensive because of Viewers. It is expensive because of Creators, and because of the Enterprise uplift on every seat if you need the governance tier.

To compare fairly, hold the role mix constant. The mix below is a plain one: a small authoring group, a mid tier of people who slice existing data sources, and a majority who only read.

Power BI has no Explorer equivalent, so Explorers and Viewers both become Pro seats. Authors get Pro as well unless they need the larger models that PPU unlocks. Here is the annual list price for each configuration.

Read those rows carefully. At 10 users, standard Tableau costs a little over twice the all Pro Power BI configuration, and Tableau Enterprise costs roughly four times as much. At 200 users the ratios compress: standard Tableau is about 1.6 times the all Pro configuration, because 160 Viewer seats at $15 are nearly the same as 160 Pro seats at $14. Tableau Enterprise stays punishing at scale, because the Viewer uplift from $15 to $35 applies to every single passive user.

If your instinct is that a 200 person deployment should cost less than $33,600 a year to distribute charts, you are not wrong, and that instinct is what drives most teams toward affordable BI tools or toward asking whether every one of those 200 people actually needs a dashboard seat at all.

The capacity add-on that quietly changes power bi vs tableau pricing

Here is where the sticker price stops being the price. Microsoft Fabric capacity is sold in F SKUs, billed by the hour, and it is the mechanism that lets unlicensed users view Power BI content. That privilege starts at F64. Below F64, capacity buys you performance and Fabric workloads, not free distribution.

F64 pay as you go lists at roughly $8,409.60 per month. Reserved for a year, it drops to roughly $5,002.67 per month. Those are large numbers, and the arithmetic that matters is the crossover point:

  • At the reserved rate, F64 costs the equivalent of about 357 Power BI Pro seats.
  • At the pay as you go rate, it costs the equivalent of about 600 Pro seats.

So for our 200 user deployment, buying F64 to make viewers free is a mistake on cost grounds alone. Ten authors on Pro plus reserved F64 works out to roughly $66,752 a year, which is nearly double the $33,600 all Pro configuration. Capacity pays for itself when your read only audience runs into the high hundreds or thousands, or when you need the Fabric data engineering workloads anyway. It is not a discount mechanism for a mid sized company.

Tableau has its own quote only layer. Data Management, Advanced Management and the AI features arrive either through the Enterprise tier or through Tableau+, and Tableau+ has no published price. That is the honest asymmetry in a tableau power bi price comparison: Microsoft publishes an expensive number for its capacity tier, Tableau publishes no number at all for its top tier. You can model Power BI's ceiling from public data. You cannot model Tableau's without a sales conversation.

One more line item on the Tableau side: Tableau Server, if you self host, uses the same per user pricing as Tableau Cloud, but you also pay for the servers, the operating system licences, the backup storage and the administrator who keeps it running. Tableau Cloud folds that into the seat price. Compare like for like or the on premises option will look artificially cheap.

Costs that never appear on either price page

Both vendors price the visualization layer. Neither prices the work that makes the visualization layer useful, and in most deployments that work costs more than the licences.

The data has to arrive somewhere first. Tableau and Power BI both connect directly to source systems, and both perform badly when you make them do so at scale. Gateways and bridges need hosts. Power BI's on premises data gateway and Tableau Bridge both need a machine that stays on, gets patched and gets monitored. The software is included. The machine and the person are not.

Someone maintains the semantic model. A Power BI dataset or a Tableau published data source is a piece of software. Fields get renamed upstream, definitions drift, and the revenue number in one report stops matching the revenue number in another. This is the single most common reason BI projects lose trust, and it is a recurring labour cost that no pricing page mentions. Deciding what to model in the first place is its own exercise, which is why it helps to settle which business intelligence KPIs you actually need before you buy seats for all of them.

Training and implementation. Tableau Creator seats do not make people into analysts. Power BI's DAX language is powerful and genuinely difficult. Most organisations of 50 or more people either hire a specialist or pay a consultancy, and that cost frequently exceeds the first year of licences.

Unused seats. Annual Tableau contracts in particular accumulate seats for people who left, changed roles or opened the dashboard twice in March. Nobody audits this by default. A monthly utilisation check is one of the highest return automations you can run against a BI contract.

How to read a Tableau vs Power BI pricing quote before you sign

Six questions turn a quote into a real number.

How many people genuinely need to author? This is the whole game on the Tableau side. Every Creator you can move to Explorer saves $33 a month at standard tiers, $45 at Enterprise. Count actual publishers, not people who would like the option.

Are you being quoted standard or Enterprise? The uplift is $40 per Creator, $28 per Explorer and $20 per Viewer, every month, forever. Ask which specific Enterprise feature you are buying and whether you would notice its absence.

Do you already own Power BI Pro? Pro is included in Microsoft 365 E5. If your organisation is on E5, a large part of the Power BI seat cost is already paid, and the tableau vs power bi cost comparison shifts decisively. Check before you model anything.

Is any Fabric capacity in the quote, and at what SKU? Anything below F64 does not give you free viewers. Anything at or above F64 needs to be justified by audience size or Fabric workloads, not by seat savings.

What is the annual commitment and the renewal uplift? Tableau bills annually by default. Ask what happens at renewal, and whether seat counts can go down as well as up.

What is the total including data infrastructure? Add the warehouse, the pipeline and the person. If that number is not in the business case, the business case is fiction.

At 10 users the all Pro Power BI configuration is roughly 43 percent of standard Tableau and roughly a quarter of Tableau Enterprise. At 200 users it is roughly 63 percent of standard Tableau. The gap closes because Tableau Viewer at $15 and Power BI Pro at $14 are nearly the same price, so large passive audiences cost about the same on both. Where Tableau stays materially more expensive is authoring, and where it becomes dramatically more expensive is the Enterprise tier applied across every seat.

Do I need Fabric capacity to use Power BI?

No. Power BI Pro at $14 per user per month covers authoring, publishing, sharing and consumption for teams of any size. Fabric capacity becomes relevant for two reasons: performance and model size limits that PPU does not solve, or a read only audience large enough that free viewing at F64 beats buying Pro seats. That crossover sits at roughly 357 users against reserved F64 pricing and roughly 600 users against pay as you go. Below those numbers, capacity increases your bill.

What is the cheapest legitimate Tableau configuration?

One Creator seat plus Viewer seats for everyone else. Every Tableau deployment requires at least one Creator, so the floor is $75 per month plus $15 per additional reader, billed annually. That configuration works when a single analyst builds everything and nobody else edits. It stops working the moment two people need to publish, or the moment someone wants to modify a dashboard rather than read it, at which point Explorer seats at $42 enter the picture.

Does Power BI Free actually let me share reports?

Not in the Power BI service. Power BI Desktop authoring costs nothing and is fully featured, and the Fabric free licence lets you work in your own personal workspace. Sharing to colleagues through the service requires a paid licence on both sides, unless the workspace sits on an F64 or larger capacity. You can circulate .pbix files by hand indefinitely, but that is file sharing rather than a BI deployment, and it fails as soon as refresh schedules or row level security matter.

How should I compare tableau vs power bi cost against a warehouse first stack?

Model three lines separately: the visualization licences, the data infrastructure underneath, and the labour to maintain both. Vendors quote only the first. Two platforms with identical licence costs can differ by a large multiple once pipelines, warehouse compute and a maintainer are included.
